A business owner in Raipur looking for a Chartered Accountant usually starts with a referral from another business owner, which is a reasonable starting point but not a complete evaluation on its own. What worked for someone else's business — different structure, different industry, different scale — doesn't automatically mean the same firm is the right fit for yours. This is a working checklist for evaluating any CA or CA firm you're considering, not a pitch for a particular one.
Start with the credential check, not the sales pitch
Every practicing Chartered Accountant in India is registered with the Institute of Chartered Accountants of India (ICAI), and that registration is publicly verifiable. Before anything else, check the ICAI's member search on their official portal to confirm the individual or the firm's partners actually hold a current Certificate of Practice — this takes two minutes and rules out the (rare but real) cases of someone operating as an "accountant" without the qualification the title implies. If you're asked to sign an engagement with a firm and can't independently verify who's actually going to be signing your audit reports or certifying your filings, that's worth pausing on.
Also worth checking: every certificate a CA issues — audit reports, valuation certificates, tax audit reports — carries a UDIN (Unique Document Identification Number), generated on ICAI's own portal, that you can verify online against the specific document. If a firm hands you a "certified" document without a verifiable UDIN, ask why.
Match the firm's actual scope to what you actually need
Not every business needs the same services, and not every CA firm offers the same mix. Before you start evaluating firms, get clear on what you're actually looking for:
- Compliance-only work (GST filing, TDS returns, statutory audit) — most firms handle this competently, and the differentiator here is usually reliability and turnaround, not specialization
- Sector-specific advisory — if you're in manufacturing, real estate, or NGO work, ask what similar businesses the firm has actually worked with; a firm that primarily handles retail traders may not be the strongest fit for a RERA-registered developer's compliance needs, and vice versa
- Cross-border or multi-state coordination — if your business operates across Chhattisgarh and Odisha, or has any interstate GST registration, ask specifically how the firm handles multi-jurisdiction coordination rather than assuming any firm can
- Litigation and notice representation — some firms are stronger on routine compliance than on representing you before tax authorities in a contested matter; if you anticipate needing this, ask directly about the firm's experience with assessment proceedings and appeals
Asking "what kind of businesses like mine have you worked with" is a fair, direct question to put to any firm you're evaluating — a firm confident in its fit for your situation should be able to answer it specifically, not vaguely.
How the engagement actually starts
A CA relationship, once established, involves handing over meaningful access to your financial records — bank statements, invoices, payroll data, sometimes login credentials to government portals filed on your behalf. Before committing, understand:
- What documents and access the firm will need from you at the outset, and on an ongoing basis
- How communication actually works — do you get a dedicated point of contact, or does it vary by task
- What the typical turnaround looks like for routine filings versus urgent matters (a notice with a short response deadline, for instance)
- Whether the engagement is structured with a clear scope, or open-ended in a way that makes it hard to know what you're actually paying for later
Watch for these specific red flags
- A firm that doesn't ask questions about your specific business before proposing an approach. Generic advice delivered without understanding your actual structure, industry, or history is a sign the engagement will likely stay generic.
- Promises of guaranteed outcomes. ICAI's own code of conduct prohibits Chartered Accountants from guaranteeing the results of professional work — no legitimate CA can promise a specific tax refund amount, a guaranteed loan approval, or a certain outcome in a tax dispute before actually reviewing your situation. A firm that makes this kind of promise upfront is telling you something concerning about how it operates, not something reassuring.
- Reluctance to explain their approach in plain terms. You don't need to understand every technical detail of how a CA does their work, but a firm that can't or won't explain in ordinary language what they're doing and why is harder to hold accountable later.
- No clear engagement scope in writing. Verbal-only arrangements make it difficult to know what's actually included, and difficult to resolve disagreements if expectations diverge.
A practical way to run the actual evaluation
If you're choosing between two or three firms, it's reasonable to have an initial conversation with each before committing to any one. Come prepared with your actual situation — your business structure, your industry, any specific compliance history or pending matters — and see how specifically each firm responds. A firm that engages with your actual details, asks clarifying questions, and gives you a concrete sense of how they'd approach your situation is telling you more about fit than any general reputation could.
